Executive Assistant for Senior Leaders-Salt Lake City, UT

Overview

Client is currently seeking an experienced and talented Executive Assistant to support their Senior Leaders.  

Responsibilities

  • Handle administrative duties with minimal supervision such as managing schedules, coordinating meetings, expense reports, reconciling purchase cards, reviewing and tracking items
  • Coordinate travel arrangements including making airline, hotel and car arrangements, monitoring travel and updating traveler with any changes
  • Perform general office duties including making copies, filing, and distributing mail, ordering supplies, and organizing and maintaining the legal file room
  • Assist with preparation, management, and maintenance of documents and materials for various matters, including real estate, M&A, contracts, litigation, patents & trademarks and corporate entities
  • Ensure timely reporting for Executive/Senior Leader metrics
  • Be highly connected to Leaders’ activities and display initiative to proactively anticipate their needs
  • Network with other executive assistants to strengthen relationships and leverage knowledge of company processes and practices
  • Responsibilities are not all inclusive and may change based on the need of the company

Qualifications

  • Professional, personable and effective communicator at all levels of the organization
  • Previous experience arranging executive schedules, acting as a gatekeeper to maximize time and efficiency
  • Assist with preparation, management, and maintenance of documents, materials and presentations for various matters
  • Demonstrated effectiveness arranging events, meetings, and executive travel, both domestic and international
  • Effective with expense reports, budgets, and other analytical data
  • Required to properly manage sensitive and proprietary information, maintaining complete confidentiality
  • Strong working knowledge of Microsoft Office, including Word, Excel, PowerPoint
  • Must speak, read and write fluent English with excellent grammar and composition skills; Spanish or other language proficiency is a plus
  • Must be willing and able to accept occasional communication and direction from the executives after hours and weekends

Education/Experience

  • High school diploma, BA/BS degree preferred
  • Minimum 5, preferably 8, years of experience as an administrative assistant at the executive level
